Terms & Conditions - use of Rowan Muir Community Centre
Acceptable Use
The Rowan Muir Community Centre (RMCC) is available for meetings and training courses at no charge to ‘not for profit’, local community organisations as approved by Coastguard Maraetai from time to time.
Meeting room is assigned on a first-come, first-served basis, while space is available using this website.
RMCC is not available for social events.
RMCC is available for use between 9am and 10pm or as agreed.
At no time will any alcoholic beverages be allowed to be brought into the property by you or your guests.
Smoking or vaping is not permitted in or outside the premises.
No more than 20 people may be on the premises at any time.
Access to the adjacent Coastguard shed must not be impeded at any time.
The user must ensure that the meeting room is suitable and safe for the purpose for which it is intended to be used and shall be responsible for all activities undertaken and will give reasonable consideration to other users of Library and Coastguard facilities.
The placement of a sign or poster on the entrance door of the rented room is acceptable. No other signage or promotion can be made within or outside the building with prior permission.
Furniture etc..
Hirers are responsible for setting up, cleaning and packing away any furniture and equipment used during their hire period. All furniture must be returned to its original setting before departing.
Cleaning
Coastguard Maraetai has cleaners that will clean the premises. However, the Hirer is to leave the facilities in a reasonable clean and tidy state upon departure otherwise a $150.00 cleaning fee will be payable.
All rubbish must be removed from the premises.
The Hirer must clean and pack up by the agreed time.
Kitchen / Catering
Should you be using the kitchen, you must leave the kitchen facilities in a clean and tidy state upon departure.
You agree to operate all kitchen equipment in a safe and responsible manner and to comply with the The Health and Safety at Work Act 2015 (HSWA) when using the premises and the equipment contained therein.
Cancellation or Termination
All bookings are accepted at the sole discretion of Coastguard Maraetai
Coastguard Maraetai may cancel or terminate your booking at any time at their sole discretion.
Coastguard Maraetai reserves the right to check on the use of the meeting rooms at any time. If misuse of any of the above described purposes is identified, the organiser reserves the right to close down the room with immediate effect.
Damages, breakages, theft
Coastguard Maraetai do not accept any responsibility for damage to, or loss of, any property belonging to you or any of your guests.
You will be responsible any and all damages caused to our premises by you or your guests and you shall assume responsibility and liability for the cost of all and any repairs for damage and breakages.
The hirer will notify Coastguard Maraetai booking officer of any damage or repairs required within 24 hours.
No items are to be affixed to the walls, floors or ceilings of any part of the property without Coastguard Maraetai's prior written consent.
General
It is the hirers responsibility to ensure the health and safety of all persons using the RMCC.
Fire & Safety regulations are to be observed and the Hirer should make themselves aware of the location of the fire exits and fire appliances and access to all fire doors must be kept clear at all times.
You will be responsible for the behaviour and actions of your guests attending your function. Inappropriate behaviour may result in your booking being stopped early or cancelled.
You agree to begin and complete your event at the schedule time outlined in your event confirmation.
The person who makes the booking is required to be present for the duration of the event.
Notwithstanding anything contained in these terms, Coastguard Maraetai will not be liable for any failure to perform its obligation to the hirer in whole or part as a result of any of the following circumstances: • Strikes and other industrial actions/disputes • Fire and/or floods at or near the premises • Misconduct or negligence of a customer, delegate or external third party • Act of God
